For Clubs of Every Size

Sailing & Yacht Club Management Software

Built for yacht clubs and sailing clubs — members, events, communications, finance, and documents in one platform, scoped to the way committees actually run on volunteer time.

What "all-in-one" actually means

"All-in-one" is a phrase that has been worn smooth by years of misuse. Most products that claim it are a bundle of loosely integrated modules that still need manual data entry at the seams — the member who renewed last week is still missing from the event list, the new joiner is on the mailing list but not the duty rota, the treasurer's report needs three CSV exports to assemble. The test of a genuinely unified platform is whether a change made in one place propagates everywhere else without anyone having to copy it across.

The typical fragmented stack at a UK or Ireland sailing or yacht club looks like this: a spreadsheet for the membership list, Mailchimp for newsletters, WhatsApp groups for the duty crew and the social committee, a separate Eventbrite or Google Form for race entries, a static WordPress site for the public face, a personal Gmail acting as the secretary's archive, and PayPal or bank transfers for payments. Each one made sense in isolation. Together they cost the committee ten hours a week and produce inconsistent member experience.

Yacht Clubs Manager replaces that stack with one data model. One member record drives the membership portal, the public website, invoicing, event entries, duty assignments, communications, and the document library. When the membership secretary updates a member's email address, the newsletter list, the event reminder, the invoice, and the duty notification all use the new address from the next moment. No CSV export. No re-keying. No two sources of truth that disagree at the AGM.

Membership management

Membership is the financial foundation of any club, and the area where bad software causes the most damage. Member management in Yacht Clubs Manager supports as many categories as your constitution requires — full, social, junior, family, life, honorary, country, intermediate, and any custom categories your club has acquired over the years. Each category carries its own pricing, joining fee, prorating rules, and renewal cycle, configured once and applied automatically across every member that holds it.

Renewals are the workflow most clubs lose money on. The platform sends staged renewal reminders by email — first nudge a month before, second two weeks before, a final notice on lapse day — without the membership secretary touching the keyboard. Joining fees apply automatically to new members and are waived for reinstatements where your constitution requires it. Family memberships group the parents and children into one billing unit while preserving individual records for each member, which matters for junior racing eligibility and per-member returns to the national authority.

GDPR compliance is built into the data model rather than bolted on as a separate consent screen. Member data is held in EU regions with encrypted storage and role-based access. The committee can generate a subject-access export for any member in a single click, and members can request their own data export from the portal. Lapsed members are retained as records — anonymised on request, or kept in full for historical context like life-membership eligibility and prize-giving archives — and you can re-engage them with a targeted email when they have not renewed for two seasons rather than losing them to a deleted spreadsheet.

Communications

Generic email tools produce generic open rates. The communications module sends every club email from your own branded domain via AWS SES, so messages land in inboxes rather than the promotional tab, and members associate your club identity with reliable, relevant messages rather than another bulk-mail thread. Newsletters, event reminders, duty confirmations, renewal notices, and document publication alerts all originate from the same platform — so members get one consistent voice instead of five overlapping ones.

Mass email comes with delivery tracking built in. The communications dashboard shows delivered, opened, bounced, and unsubscribed counts per campaign, so the committee can tell whether the AGM notice actually reached the membership before the quorum starts to wobble. Hard bounces flag members with stale email addresses so the membership secretary can chase a fix rather than assuming the address is fine. Soft bounces are retried automatically without manual intervention.

Segmentation is automatic because the member data is already in the platform — you can email all full members, all junior parents, all members entered into Saturday's race, all members who have not paid their renewal yet, or any combination thereof, without exporting a list and re-uploading it. Event reminders go out on a schedule the committee sets when the event is created; document notifications fire when new constitution amendments, AGM minutes, or safety briefings are published to the document library. The result is members who actually read what the club sends, because what the club sends is consistently relevant to them.

Invoicing and payments

The treasurer's report used to require a spreadsheet assembled from five sources, with reconciling notes in the margin and a footnote explaining why the bar takings did not match the till. The invoicing and payments module consolidates membership dues, event entry fees, bar tabs, training course fees, and ad hoc charges into a single ledger that the treasurer actually trusts to be correct.

Invoicing supports batch generation for annual renewals, per-event invoicing for race entries, and ad hoc invoices for anything else — moorings, storage, social tickets, training. Payments run through Stripe Connect directly into the club's connected Stripe account, with no platform skim on top of the Stripe fee. Members can pay by card, Klarna, or Stripe Link, and the committee can also mark cash and cheque payments against an invoice for the members who still prefer those. Partial payments, refunds, and credit notes are first-class features rather than workarounds.

The online shop ledger covers bar, chandlery, club kit, and any other transactional revenue, with stock and price management in the admin console. Bar tabs run against member accounts so the bar manager does not chase cash on a Friday night. The treasurer's dashboard rolls everything together — membership dues paid, shop revenue, event entry income, outstanding debtors — and exports cleanly to CSV for the accountant. Role-based access means the treasurer sees the full ledger, the bar manager sees shop transactions, and the membership secretary sees member balances without anyone seeing more than they should.

Pricing

Pricing is structured in two phases. Phase one is a one-time setup fee for the custom web creation work — discovery, design, content migration, committee training, and go-live. Every club gets a platform configured around its fleet structure, membership categories, and branding rather than a generic template with a colour swap. Phase two is a monthly subscription that covers hosting, support and website editing.

There are no per-seat fees for committee members or admin users. The whole committee — commodore, vice-commodore, rear commodore, treasurer, membership secretary, sailing secretary, social secretary, training principal, and any role-based admins below them — can use the platform under the same subscription. The membership-count-based pricing means small UK and Ireland clubs pay accordingly and do not subsidise the scale that large clubs need.

We deliberately do not publish a fixed price grid. Clubs vary too much in size and scope for a single number to be honest for everyone, and pretending otherwise leads either to undercharging small clubs out of a sustainable platform or overcharging large clubs for features they do not need. Instead, pricing is scoped per club on a short consultation call — tell us what you need, we come back with a fixed quote within five working days, and the quote stays the quote. The pricing page explains the structure in more detail.

Each role (commodore, treasurer, membership secretary, etc.) is assigned to a member. When the role changes hands, you update the assignment and the new person inherits the access. Historical assignments are kept for audit.
