Fleet Tracking

Every member's boats and sail numbers in one register, shown on their profile.

What it does

Fleet Tracking maintains a central register of every boat associated with your membership. Each record holds boat name, type, sail number, overall length, deck colour, hull colour, and equipment notes (large foresail, spinnaker). Members add and edit their own boats from their profile page; administrators manage the full fleet from the admin panel. Duplicate detection warns members if a sail number is already registered before creating a new boat.

The admin fleet view is a sortable, searchable list of every boat with a full detail modal showing the record and all associated members, plus one-click Excel export for committee reporting and class association submissions. A boat can be owned by multiple members simultaneously — the co-owner flow lets a second member search by sail number and join an existing record rather than creating a duplicate. Each member designates one boat as their "main keelboat" for race entry prioritisation.

What sells it

  • Member self-service — owners add, edit, and remove their own boats so the register stays current without the fleet manager chasing updates
  • Co-owner flow — a second member joins an existing boat by sail number rather than creating a duplicate that can drift apart
  • Duplicate sail-number detection — the platform warns members if a sail number already exists before they register
  • Main keelboat designation per member for race entry prioritisation
  • Motor-powered exemptions — RIB, Motorboat, Powerboat, and Safety Boat are recognised types that skip the sail-number requirement
  • One-click Excel export of the full fleet (or a filtered subset) for class association reporting and insurance declarations
  • Admin detail view showing every member associated with a boat — useful for joint ownership, charter, and crewed arrangements

Why this matters

A club's boat register underpins race entries, insurance declarations, and class association reporting. When it lives in a spreadsheet updated annually by one volunteer, it is always partly out of date — boats sold, classes changed, new members' boats not yet added. A live register that members maintain themselves gives the committee, race officer, and insurance coordinator an accurate fleet picture at any moment without a data-collection exercise each spring.

Frequently asked questions

Yes. A second member can join an existing boat as a co-owner by searching for the sail number from their profile page. Both members then see the boat on their profile. This avoids duplicate records for jointly owned or crewed vessels.
