Feature

Member Documents

Constitutions, AGM minutes and sailing instructions, organised by category for members.

What it does

Member Documents gives your club a categorised, searchable document library that every active member can access from any device. Administrators upload files — PDFs, Word documents, spreadsheets, images — to named categories with title, description, and display order. Members browse by category tab, search across all categories by keyword, or sort within a category by newest, oldest, A–Z, or Z–A. Grid and list view modes, pagination at 25 documents per page, and members can view inline or open in a new tab.

The admin panel has a category manager (create, rename, reorder, delete) and a document file manager for uploads, retitles, and deletions. Changes take effect immediately, and the library integrates with the newsletter tool so a newly uploaded sailing instruction set can be ticked into the next member newsletter and reaches every active member without an email attachment.

What sells it

  • Configurable categories — Club Rules, AGM Documents, Sailing Instructions, Safety Procedures, Training Documents, Membership Forms, or anything your club organises by
  • Cross-category search — debounced keyword search across titles and descriptions, no page reload
  • Multiple file formats — PDF, Word, Excel, images, and common document types; PDFs open inline in the browser
  • Sort options per category — newest first, oldest first, A–Z, Z–A — so members find the current year's documents fast
  • Grid and list view modes with pagination at 25 documents per page for large libraries
  • Newsletter integration — uploaded documents are tick-to-include in the Send Newsletter composer; links rather than attachments, so no email size limits
  • Members-only access tied to active membership status — lapsed or suspended members lose access automatically
  • Mobile access — members find current Sailing Instructions from their phone on the dock without calling the secretary

Why this matters

Important club documents currently live in three or four places: a folder on the secretary's laptop, an email thread from three years ago, a shared Google Drive nobody can find, and a Facebook post that's scrolled off the feed. A central library with clear categories and search means any member finds any document in under thirty seconds — and the incoming officer at AGM season finds a complete archive rather than starting from scratch.

Frequently asked questions

The library accepts PDF, Word (.doc, .docx), Excel (.xls, .xlsx), image files (JPG, PNG), and other common document formats. PDF is recommended for documents you want members to view in the browser without downloading, as most browsers open PDFs inline.
