Event Management

Racing series, regattas and social events with Notice of Race, Sailing Instructions and paid online entry.

What it does

One workflow runs every event your club holds — Wednesday evening series, championship regatta, training course, or club dinner — with online entry, document attachments, and Stripe-powered payment in a single Create Event form. Admins set the title, a Markdown-rich description, category (Racing, Social, Cruising, Training, or any tag), start time, location, optional sponsor, and either a single date or a custom multi-date selection for non-consecutive days. Custom fields (sail number, IRC rating, helm name, dietary requirements) capture exactly the data each event needs, and capacity limits cut off registration automatically once full.

Members and visitors land on a branded event detail page with header image, full description, attached documents, and a prominent Register Now button with the price inline. Registration works for both logged-in members (profile auto-fills) and guests (full name, email, phone, address, yacht club fields). Payment runs through Stripe Connect with card, Klarna, and Stripe Link supported. Confirmation email goes out automatically on successful payment, and an Upcoming Events sidebar drives cross-attendance to the next race or social.

A typical regatta might open with an early-bird tier for the first month, switch automatically to standard pricing on the cut-off date, cap entries at 60 boats, and require a sail number and class on every entry — all configured once at event creation, with Stripe checkout handling card and Klarna at the point of entry.

What sells it

  • Single-date or multi-date events — pick any combination of non-consecutive dates so one entry covers a season-long Wednesday series or a regatta weekend
  • Sailing-specific document slots — dedicated Notice of Race and Sailing Instructions uploads plus four additional general documents (PDF, Word, Excel, 5MB each)
  • Multiple pricing tiers — early-bird, standard, member, and guest rates with automatic switch-over on the cut-off date
  • Custom registration fields — text, textarea, dropdown, radio, checkbox; required or optional; per-event field builder
  • Stripe Connect checkout with card, Klarna, and Stripe Link; funds settle to the same business account used for invoicing and the shop
  • Guest and member registration on one form — auto-fill for members, full guest fields for everyone else, with a "Log in if you are a member" prompt at the top
  • Capacity limits with automatic cut-off and per-event registration toggle so events can run as informational only
  • Sponsor association via dropdown — selected sponsor appears on the public event page
  • Markdown-rich descriptions with built-in formatting guide and a 1200×400px header banner per event
  • Admin registration list per event with tier, custom field responses, and payment status — print or export for race-day use

Why this matters

Collecting regatta entries by email means transcribing replies into a spreadsheet, chasing missing fields, and reconciling payments by hand — hours of admin per event, with entries still arriving the morning of race day. Online entry with structured data and payment at the point of entry cuts that overhead to near zero, and the same workflow runs racing entries, social events, and training courses so your committee learns one tool.

Frequently asked questions

Yes. Every event can have one or more payment tiers — early-bird, standard, member rate, guest rate — and registrants pay by card at the point of entry. Stripe Connect handles the payment; funds go directly to your club's connected Stripe account. Card, Klarna, and Stripe Link are all supported.
